1. Who controls your data

Novus Formations is a service and trading name used by Aktyvus Group Limited, company number 16872083, registered in England and Wales. Aktyvus Group Limited is the controller of personal data processed through this website and the Novus service. 2. Data we collect

We may process account and contact details; company and founder information; order, invoice, payment-status and InstaPay evidence; communications and support requests; documents you upload; security and session records; cookie choices; and consented analytics events. Please do not send passports, national identifiers, tax identifiers, or other sensitive documents through ordinary text fields.

3. Why we use personal data

We use data to provide and administer requested services, create and secure accounts, review payments, communicate with customers, coordinate filings and registered agents, comply with legal obligations, prevent abuse and fraud, improve the service, and send newsletters where requested. Our lawful bases include performance of a contract, compliance with legal obligations, legitimate interests in operating and securing the service, and consent where required for analytics or marketing.

4. Sharing and processors

We share only what is necessary with infrastructure and storage providers, email delivery providers, Telegram for operational notifications, SendFox for requested newsletters, Google Analytics after consent, professional advisers, registered agents, filing partners, government authorities, and other suppliers needed to deliver the selected service. Telegram notifications must not replace the records held in Novus.

5. International transfers

Our providers and customers operate in several countries. Where data leaves the United Kingdom, we use an available lawful transfer mechanism and proportionate safeguards, considering the provider, destination, and information involved.

6. Retention

Customer, order, payment-proof, and company-service records are normally retained for seven years after the service or relevant financial obligation ends. Contact enquiries are retained for up to 24 months. Security logs are retained for up to 12 months. Newsletter records remain until unsubscribe, after which limited suppression information may be retained. Google Analytics data is intended to use a 14-month retention period. We may retain information longer when required by law, a dispute, fraud prevention, or an authority.

7. Your rights

Depending on applicable law, you may request access, correction, deletion, restriction, portability, or objection, and may withdraw consent without affecting earlier processing. Contact info@novusformations.us. We may need to verify your identity before acting.

8. Security

We use access controls, private document storage, encrypted transport, authentication controls, audit records, and operational procedures intended to protect data. No online system can guarantee absolute security.

The service is intended for adults who can enter a business-service contract and is not directed to children.

We publish a new dated version when this policy materially changes. The version displayed on this page is the current published version.
